Deadlines
In order to determine Meet Entries our coaches must know whether or not your swimmer will be attending each meet.
Wednesday Swim Meet Signup Deadlines:
- Signup will open Sunday before the meet at 8:00 am.
- Signup closes on Tuesday at 5:00 pm. NO EXCEPTIONS.
- Boys will swim (9 & Up) Free & Breast, 8 & under will swim Free and Back
Girls will swim (9 & Up) Fly & Back, 8 & under will swim Free and Back
Saturday Swim Meet Signup Deadlines:
- Signup will open the Wednesday before the meet at 12:00 pm.
- Signup closes on Friday by 9:00 am. NO EXCEPTIONS.
- Girls will swim (9 & Up) Free & Breast, 8 & under will swim Free and Back
Boys will swim (9 & Up) Fly & Back, 8 & under will swim Free and Back
Final event selection will be up to coaches discretion.
How to: Meet Attendance
- Sign in to your SwimTopia account.
- Click on the Meet & Events tab.
- Select "Signup Calendar".
- Select the meet and click on the green box that says "MEET ENTRY".
- Click Edit below your swimmers' names, use the drop down menu for each swimmer to indicate "attending this meet" or "not attending this meet".
- You can leave a message for the coach here if you need to. Click Save.

Swim Meet 101
The following items are things you can bring to help prepare your swimmer for a fun and successful meet!
- Competitive swim suit
- Team cap
- Goggles
- Sunscreen
- 2 towels (or 1 towel and something waterproof to sit on)
- Water Bottle
- Sweatshirt
- Healthy snacks
- Sharpie
- Sharpie your child's name on all items, especially team t-shirt/ towel - they all look alike and swimmers lose them often!
- Sharpie events on your swimmer, their forearm or the back of their hand using this format, E H L [E=event, H=heat, L=lane]. It's best to do this before sunscreening your swimmer - sharpie doesn't write well on sunscreened or damp skin.

How to: Meet Job Signup
The success of our swim meets depend heavily on the active involvement of all parents. Each family must work at least 2 volunteer jobs at meets throughout the season.
Any jobs NOT filled before a meet will be assigned to those that have not yet fulfilled this commitment.
- Sign into your SwimTopia account
- Click on the Meet & Events tab
- Select "Signup Calendar" and select the event
- Click the green "Job Signup button"
Some things to keep in mind:
- At the start of each meet, you will need to check-in with our volunteer coordinator to get credit for working
- When doing your job, you cannot be on your phone or have young children with you.
- Volunteer jobs are done at home meets, away meets and Championships.

- If you would like to see all the jobs you have already worked, log-in, go to the upper righthand corner of the website where you will see "Welcome Your Name", click My Account from the drop down menu. Your family's job assignments will be listed at the bottom of the page.
Volunteer Job Descriptions
It takes a large number of volunteers to run a successful swim season. By registering your swimmers with the team, you are agreeing to abide by the team’s requirements for volunteering. All swim team families must volunteer to help work for at least two shifts at any Swim Meet during the season. Below you will find a list of the positions we need filled at every swim meet.
Starter** - Responsible for running the meet. Announces each race, starts each race & paces the speed of the events. Position only needed for home meets. **Required: Must volunteer alongside current officials for one meet before volunteering solo.
Stroke-n-Turn** - Responsible for viewing each race from the side of the pool and disqualifying swimmers when an infraction occurs. Position needed for both home and away meets. **Required: Must have officiating certification or shadow our current officials for one meet before volunteering solo.
Meet Manager – Organizes and sets up all home meets; and coordinates with opposing team manager for away meets. Recruits volunteers, oversees setup and cleanup.
Timers - (7) timers are needed for every meet, one for each lane and a back-up timer. Timers are responsible for timing each swimmer in their assigned lane with a stopwatch and recording times on a timer sheet. The timer sheets are collected by the runner after each event. This position is needed for both home and away meets.
Marshallers - (2) marshallers are needed for every meet. They are responsible for getting all of the swimmers, especially the younger ones, lined up in the correct order/lanes and ready for their races. This position is needed for both home and away meets.
Data Entry Recorders - (2) recorders are needed for every meet. Recorders sit at the official scorer’s table and enter the swimmers’ times into a laptop. This position is needed for both home and away meets.
Across-the-Board - Responsible for judging the order in which the swimmers finish in each event. This person must write the order in which the lanes finish, which is then used for scoring at the recorder’s table. They will stand at the end of the pool in order to see each finish. This position is needed for both home and away meets.
Runner - Responsible for collecting all of the timing sheets from each timer after each event and bringing them to the recorder’s table. This position is needed for both home and away meets.
Heat Ribbons - Responsible for handing a ribbon to the 1st place winner of each heat. Will stand at the end of the pool in order to see each finish. This position is only needed for home meets.
Event Number Turner - Responsible for turning the event and heat numbers as the meet progresses. This position is only needed for home meets.
